Retreat Booking Terms & Conditions
Payment Policy
All Hoodwinkler Coaching Group LLC retreat packages are priced in USD per person.
To confirm a booking, you must either:
- Pay in full, or
- Enroll in an approved monthly payment plan through Kajabi Payments or Stripe.
We do not hold spots without a confirmed payment arrangement. Your retreat space is officially reserved only once payment in full or a signed commitment to a payment plan is received.
Payment Plans
- Payment plans are structured on a monthly basis.
- By enrolling in a payment plan, you are making a commitment to pay the full retreat cost in its entirety, regardless of whether you attend the retreat.
- All installment payments must be completed prior to the retreat start date in order to participate.
- If you default on payments, Hoodwinkler Coaching Group LLC reserves the right to cancel your reservation, and all payments made to date are non-refundable.
Receipts are issued for all payments.
Guest Cancellation Policy
Please carefully review this cancellation policy before booking. All deposits and payments are considered a commitment to the full retreat package.
- No refunds are provided for cancellations, regardless of reason.
- Depending on when you cancel, a portion of your payments may be applied as credit toward a future retreat(applied to the current published rates at time of rebooking).
Cancellation Penalties:
- 90+ days before retreat start date: 100% of payments made may be applied to another retreat.
- 60–89 days before retreat start date: 75% of payments may be applied as credit; 25% is forfeited.
- 15–59 days before retreat start date: 40% of payments may be applied as credit; 60% is forfeited.
- 14 days or less before retreat start date: Full payment is forfeited.
Credits are non-transferable to another program unless explicitly arranged, but may be transferred to another person at your request.
No credits are given for late arrivals, early departures, or missed retreats due to non-payment.
Travel Insurance (Mandatory)
Travel insurance is required for all retreat participants. Your policy must cover:
- Trip cancellations or delays
- International medical expenses
- Relevant retreat activities (such as yoga, hiking, coaching excursions, or other listed activities)
We strongly recommend purchasing insurance within 7 days of booking to maximize coverage.
Pre-Existing Condition Disclosure Policy
Our retreats are designed for personal growth, holistic wellbeing, and coaching experiences. While we support women from all walks of life, please note:
- We are not a medical, psychological, or trauma-treatment facility.
- Guests are responsible for disclosing any pre-existing physical, emotional, or psychological conditions that may impact participation or require additional support.
- If such conditions prevent safe or appropriate participation, Hoodwinkler Coaching Group LLC reserves the right to discontinue your participation without credit or refund.
This policy ensures the safety and wellbeing of all participants.
Company-Initiated Cancellations
In the rare event that Hoodwinkler Coaching Group LLC cancels a retreat (not due to guest non-disclosure):
- You may transfer your full payment to another retreat, OR
- Request a full refund via the original method of payment.
We are not responsible for additional expenses such as airfare, accommodations, or lost work due to a cancellation.
